The International Organization for Migration (IOM), or as it was first known, the Provisional Intergovernmental Committee for the Movement of Migrants from Europe (PICMME), was born in 1951 out of the chaos and displacement of Western Europe following the Second World War. Mandated to help European governments to identify resettlement countries for the estimated 11 million people uprooted by the war, it arranged transport for nearly a million migrants during the 1950s. From its roots as an operational logistics agency, it has broadened its scope to become the leading international agency working with governments and civil society to advance the understanding of migration issues, encourage social and economic development through migration, and uphold the human dignity and well-being of migrants.

Job Summary

    • Under the overall supervision of the Senior Programmes Coordinator and direct supervision of the Programme Coordinator (Protection) and in close coordination with the team in Resources Management Unit, the Incumbent will be responsible and accountable for supporting the Protection programme administrative functions.

The IOM Jobs in Kabul, (Administrative Associate ) will have responsibilities that include:

    • Assist Programme Coordinator and field staff in all daily operational, financial, and administrative tasks.
    • Retrieve, and compile all finance, procurement, and programme-related documents (physical and electronics), including contracts, agreements, PRFs, Pos, CRFs etc.
    • Monitor budget spending, verify the availability of funds under different WBS lines; obtain necessary approval, and regularly update finance, procurement, and logistic documents to help maintain financial tracking aligned with project budgets.
    • Support administrative coordination, liaising with IOM HR, Procurement, and Resource Management Unit to facilitate recruitments, procurement, and management of resources, obtain necessary clearances, process, and follow-up on administrative actions, verifying compliance with IOM and donor rules and procedures.
    • Draft financial status reports and financial fact sheets, identifying shortfalls in budget burn rate, and bring them to the attention of the supervisor.
    • Draft correspondence, burn rate reports, briefing notes, statistical tables, presentations, and other forms of documentation related to finance and administrative work.
    • Provide logistics support for meetings, workshops, and training sessions.
    • Respond to general information requests and inquiries related to finance and administration within Economic Empowerment Unit; set up and maintain files/records of budget tracking, staff leaves, staff payroll etc.
    • Perform other related duties as assigned.

Job Requirment

    • Bachelor’s degree in finance, Business Studies, Administration, Accounting, Management, Development Studies, or a related field from an accredited academic institution with two years of relevant professional experience
    • or
    • College diploma in the above field of studies with four years of relevant professional experience.
    • Experience
    • Experience in financial record-keeping or bookkeeping, knowledge of basic accounting principles, budget tracking and finance reporting.
    • Experience in handling clerical tasks, scheduling, and organizing office activities, including proficiency with office software (Microsoft Office suite, email, etc.) and Microsoft Excel for data analysis and reporting.
    • Prior work experience with UN (United Nations) Agencies in a multi-cultural setting, international non-governmental organizations in a multi-cultural setting, national non-governmental organizations in a multi-cultural setting or government institutions/organization in a multi-cultural setting is an advantage.
    • SKILLS
    • Knowledge of financial rules and regulations.
    • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
    • Attention to detail, ability to organize paperwork in a methodical way.
    • Languages
    • For all applicants, fluency in English is required (oral and written).
    • Working knowledge of Pashto or Dari is required.
    • Fluency in all national language(s) are highly advantages.
