AGENCY FOR ASSISTANCE AND DEVELOPMENT OF AFGHANISTAN (AADA)
AADA was founded in 2005 with the main aim of providing quality health and social services, professional capacity building, and promotion of equal access of communities to developmental and humanitarian services. AADA also responds to the needs of the Afghan people in accordance with the principles and fundamentals of civil society organizations.
Quality improvement, geographic expansion, diversification of funding, institutional development, gender equity, women empowerment and community development are among the main strategic directions reflected in the “AADA Strategic Plan”.
In its long life AADA has operated in 33 provinces of Afghanistan and has successfully implemented more than 125 health and health-related projects, including 28 education/capacity development projects. AADA is a multi-donor funded organization in partnership with the Government of Afghanistan and other international donors including USAID, World Bank, Global Fund and UN agencies.
Job Summary
- Providing administrative support and assistance to program staff and beneficiaries.
- Ensuring office supplies are maintained, including checking inventory and ensuring adequate levels of necessary supplies at all time.
- Ensuring the confidentiality and security of files and filling systems.
- Operating copy equipment, printers and other equipment necessary.
- Maintaining of vehicles log books against fuel and oil spending.
- Ensure that the structure of the compound, electricity, water and doors, are in working order and any faults are repaired quickly.
- Keep an up -to-date list of all assets. Make an asset list for the more expensive assets. as outlined in the AADA guidelines, and send to monthly base.
Key responsibilities of AADA Jobs in Herat, (Admin Logistic officer):
- Managing records and receipts.
- Preparation of bank reconciliation.
- Preparing Income & expense report.
- Processing vouchers.
- Review invoices and statements and approved payment. Supervise maintenance of and conduct checks on accounting records and documents to ensure accuracy of information.
- Make sure that the office is always kept in orderly and fashion.
- Logistic:
- Prepare Weekly and Monthly Report.
- Review purchase requests for completeness and approvals
- Maintain product and supplier information
- Analyze the supplies demand for main office and sub office
- Prepare and submit a proper monthly list of procured materials/equipment for admin inventory purposes
- Follow the announcement procedures, prepare list of participants, letter for terms and conditions, contracts or any other required document based on AADA procurement police.
- Setting and planning how to achieve supplier accreditation and service level management
- Checking and confirming that the requested goods are approved by the authorized responsible.
- Follow up with suppliers in coordination with purchaser to ensure prompt delivery
- Maintain proper filing system within logistics unit.
- Supplying goods to the field offices as required by logistic department
- Delivering the goods based on the figures mentioned in the delivery sheet and taking a receipt of the goods from the receiver
- Informing the project manager / store keeper of field office for the delivery of the goods
- Manage office expenses in terms of stationary, electricity bill and other logistic
- Supervise monthly physical stock inventory.
Job Requirment
- BBA in business administration or relevant field ; further training will be plus
- At least Two years working experience as Admi/Finance and logistic officer with national and international NGOs
- Having skills in computer applications such as Excel, Outlook and Microsoft word
- Herat resident will be Preferred
